We are looking for a dynamic Executive Assistant & Office Administrator to join our team in Paris. This is a two-part role providing both office management support and administrative assistance to the office’s senior leaders.  You’ll manage calendars, coordinate extensive travel schedules and provide support across a growing organization. You will represent the company both internally and externally by managing the day to day activities within the office, welcoming visitors, managing events and keeping our Paris team well-fed and happy!  You will also collaborate closely with Aera’s global IT team to make sure our Paris team members have the tools they need to be successful in their roles.
Responsibilities
  • Coordinate extensive travel planning and itineraries - domestic & international
  • Manage calendars across multiple time zones in a fast-changing environment
  • Work closely with internal stakeholders on meeting prep, travel approvals, and operational excellence
  • Ensure all office needs are met and issues and properly solved
  • Organize periodic company events and office activities
  • Perform receptionist tasks (welcoming office guests, managing incoming and outgoing mail and deliveries, photocopying, printing, etc.)
  • Serve as main contact for the building administration and maintenance
  • Order, purchase and maintain stationery and equipment supplies, as well as other office and kitchen supplies
  • Own the facilities budget by tracking and processing expenses; partner with IT, property management, and external vendors to improve cost efficiency, quality, and process
  • Coordinate with the People Team and IT Team to welcome new hires and set them up in the office, including access card set up
  • About You
  • University degree
  • Good knowledge of the English language
  • Good knowledge of Microsoft Office 
  • High energy and fantastic attitude; you take pride in creating a fun, productive, and aesthetic environment that inspires and brings teams together
  • Strong planning and organizing skills
  • Positive and solution oriented
  • Attention to details
  • Minimum 2 years experience
